VTU Academic Transcripts

[After having personally spent a lot of time, in July 2010, to get correct information on this topic, I realized how difficult it is to obtain a transcript. So hope this blog helps out all those seeking details on obtaining VTU transcripts]

A transcript is essentially a mark sheet in another format. Grading systems in other countries are very different from that of India and hence students need to furnish the university with a transcript that will allow the institution to understand the grading system of the Indian university. A transcript has the following information on it - number of hours per week the subject was taught, maximum marks that can be obtained in the subject and also a grading box that explains that in the Indian system, a 60% is a first class or an "A" grade. A transcript must be on the school or college letterhead, stamped by a 'purple' seal and also have a signature of a school official (usually the principal).

VTU Transcript is a single sheet of paper with the marks of all semesters on it, much like a consolidated marks card. It also has a cover letter that introduces the university and grading patterns to the recipient. They also provide you with an extra copy which could be kept for reference.

Fees:
INR 250 for 1st copy and INR 150 each for subsequent copies (rates are subject to change check official VTU website before getting a DD).

Required Documents:
·         Transcript Application Form (Handwritten or Prescribed as at http://www.vtu.ac.in/pdf/circulars/atten1.pdf)
·         Mark Sheets of all the Semesters
·         Demand Draft (DD) with the specified amount drawn in the favor of “The Finance Officer, VTU, Belgaum” (Write your name/USN/ contact number at the back of D.D for safety)

Tentative Timeline:
·         Mailing VTU Belgaum: 1 to 4 weeks
·         Visiting VTU Belgaum: 1 day
·         Visiting VTU Bangalore (Regional Office): 2 days

Note: If you decided to go to Belgaum better call the Registrar at either of the following numbers for doubts regarding official transcripts: 0831-2498136/2498135 (could be outdated)

Elaborate Steps:

Mailing VTU Belgaum
1.      Determine number of copies of transcripts required and get a D.D in favor of "The Finance Officer, VTU, Belgaum” payable at Belgaum for that amount. Write your name/USN/ contact number at the back of D.D.
2.      Fill the transcript application form (from page 2 of document at http://vtu.ac.in/pdf/circulars/atten1.pdf) or create your own simple handwritten request. Provide details such as Name of Candidate, USN, Year and Month of Completion, Address where the transcripts need to be sent and Number of copies required in the request form.
3.       Attach copies your graduation certificate and your mark sheets from all semesters.
4.       Courier all these docs to the below address / leave it in college (if they have such process in place). “The Registrar (Evaluations), Examination Section, Viveswaraya Technological University, Jnana Sangama, Belgaum – 590014”

2. Visiting VTU Belgaum/Bangalore Office

[If you are visiting VTU Belgaum call VTU and ensure that registrar is available on the day you are visiting]

Carry all the documents mentioned in above procedure and the procedure should take less than day if done in VTU or 2 days if in Bangalore regional office.

  2. Thanks very much for your information. It really helpful. Do you have any information on VTU sending transcripts directly to the foreign university? Some of the universities in US require universities to send transcripts directly to them, instead of we collecting it and send it over.

  4. In transcript,whether they mention 1st attempt marks or after passed marks??

    1. Hi, I suppose they mention both the marks obtained (1st attempt and after passed). If you look at my transcript above for each semester it mentions the "Number of attempts taken to clear the semester" and "First Attempt Total"

    And which marks are mentioned on transcripts the first attempt marks or the passed marks of the backlog subject ?

  7. hi sir is the rate 500/- is same if applying for 1st to 8 th sem cmc marks card as i had back logs in some sem, as i had 1st attempt and 2nd attempt marks card.

    and please tell me hw to fill the form i mean in the application form if we had back in 2 sub then how to fill in 1 box.

    Great info there!

    I graduated in 2002 (B.E.) from Bangalore University. Please note that it was Bangalore University and notVTU.

    Is the procedure to apply for Official Transcript same?
    I mean, same Fee and same address to send DD?

    1. Hi, VTU and BU work independently and hence I am quite sure that things won't be the same. Since I have not enquired BU about this, I will not be able to share much info on this. Looking forward, I would suggest if you can share any info you gather on this for help to others. Good Luck!

  11. Hi Uday,

    Thanks for this blog. This is really useful. Regarding attesting marks cards from Principal of College. Is this mandatory? I studied at PES, Mandya and currently working in Pune. It will take lot of effort and time to get it attested from Principal.

    As per PDF it just says 1) Photo copies of all semester Marks cards 2)Single DD

    By the way what's the address of Bangaluru Regional Office.

    1. Vittal, Glad that you found it useful. Attesting marks cards from Principal is no more a requirement, I have hence update the blog to exclude that information.

      Yes, the (1) all semester marks cards, 2)Single DD and 3) application form is all that is required now.

  12. Sudhakar, I noted that you said it is autonomous now. Hence it varies with college to college, you need to reach out to your college administration department for your college specific process. Yes, maximum marks should have been mentioned & you should demand for it. Let us know how it pans out.

  14. Am currently in U.S , is it possible to fill it online and send it to VTU ,rather than me coming and filling the form and depositing it by myself ,
    Kindly help me out , in such a way that i dont have to wait till i come to India and i can do it online sitting here.

    1. You can't fill it online. However you can have your parents fill the form available at http://vtu.ac.in/pdf/circulars/atten1.pdf and submit it at the VTU office. You should get the transcripts easily.

    i haven't yet got the official marks card of my 8th sem. will my 8th sem marks be included in the transcript?? since i wont be able to get the xerox copy of my 8th sem marks card?

    I am a MCA graduate and i passed out this july 2013. still my 6th sem marks card has to come. But i need transcript very badly. I had back logs in diff sem and its not good to carry so many certificates.
    1. Do they provide transcripts means all sem marks in one marks card for pg students?

    2. what is 250 rs for first card and 150 later on??

    3. for getting transcript is marks card copy necessary or i can produce the online result page of VTU.

    1. Yes, they should, as for all BE students, provide the transcript for you as well, atleast for the reason that they haven't called it out specifically anywhere!

      250 is for the first transcript copy if you order for more than one then the only 150 will be charged for the second, third and subsequent ones.

      Infact, it has been mentioned in the circular that the application form will suffice for the issue of the transcript however in contrary marks cards of all semester has been asked as well in the application form! Anyways, as I understand you do not really need all the marks card copies

      Actually i called and asked the vtu office. They told me that 250 rs for the first semester and so how many sem u have u have to pay for that. I had totally 6 sems so 250 + 750. Anyway i took one DD for 1000rs today going to vtu office tomorrow. Let me see what they will tell.

    for applying in aboard university, do they ask for orignal transcript?
    its so then,
    hw many copies should i take ?
    i hab to try to many university until i get addmission?

Grading systems in other countries are very different from that of India and hence students need to furnish the university with a transcript that will allow the institution to understand the grading system of the Indian university. Most (or all) universities abroad ask for this and the no. of copies you need depends on the no. of universities that you are targeting to apply.

  23. Hi, is the vtu transcript same as consolidated marks card. In transcript do they mention first attempt marks or passed marks? I am just wondering whether it shows fail in front of the subject or shows the updated status? In consolidated statements of marks do they show only passes marks or not? Please reply ASAP!

    1. Yes, VTU transcript is same as consolidated marks card. It will reflect your passed marks with a * (or) star besides the subject name. Hope this helps!

      I have just updated the blog post with the snapshot of the 2nd page of the transcript which has the details you are looking for. For calculating the class of the degree, only 5th to 8th semester marks are considered.
